Stop Waiting for Perfection: A “Crappy” System is Better Than No System

Every small business owner wants repeatable processes. We all crave the efficiency and peace of mind that comes with a well-oiled machine. But when you are constantly putting out daily fires and overwhelmed by the day-to-day operations, carving out hours to build a flawless system feels impossible.

“How do I have time to create a system when I barely have time to deal with what’s right in front of me?”

It is a common trap that leaves many owners feeling frenzied. The solution isn’t to work harder or wait until things magically slow down. The solution is to lower your immediate standards.

“Any system is better than no system. Even if it’s a sloppily built system, you can always refine it later.”

Here is a straightforward approach to building business processes without drowning in the details.


1. Find Your Biggest Time Leaks

Give yourself just five to ten minutes to jot down the main steps of a process that will help you buy back a little bit of time. It doesn’t have to be perfect; it just has to exist. By getting a bare-bones system in place quickly, you instantly free up time. You can then reinvest that saved time into refining and improving the system later.

3. A Real-World Example: The “Audio” Onboarding

To illustrate how powerful a quick-and-dirty system can be, consider staff onboarding. Training new employees is a massive time commitment for any business owner.

Instead of spending weeks building a perfect training module, try what worked for me:

  • The Crappy System (Version 1.0): During a live orientation with a new hire, I simply asked, “Do you mind if I audio record this?” I hit record on my phone, and for a long time, that was our onboarding system. New staff would simply listen to the unedited audio. It wasn’t perfectly structured, but it immediately removed me from having to repeat the same basic training day after day.

  • The Refined System (Version 2.0+): Because that audio recording bought back hours of my time, I eventually had the bandwidth to create a system that was a hundred times better, complete with professional videos, slide decks, and structured materials.
